Administration: Bulk case cleanup

With the bulk action you clean up many cases at once — archiving or deleting them in a single step. You find it in «Settings» under «Danger Zone». It is reserved for Workspace Admins (permission «LEGALCASE__D»); Technical Admins do not see it.

Caution: Deleting cases is permanent. Archiving is reversible, deleting is not. Check your selection carefully before you confirm it.

Selecting cases

You choose the cases in two ways that complement each other:

  • Paste — up to 1000 identifiers (case references or case IDs), one per line.

  • Pick from the list — tick cases directly from a list.

amaise resolves your input into three groups: found, ambiguous (one identifier matches several cases) and not found. Then tick exactly the cases the action should apply to — only the ticked, found cases are processed.

Archiving or deleting

  • Archive — the cases are archived and can be restored later.

  • Delete — the cases are removed permanently. As a safeguard, you must type the confirmation word before deletion starts.

Note: In workspaces with a connected integration (agent), deleting is not available — there the source system manages the case lifecycle. Archiving remains possible.

The result

After the action, a report shows you what happened: how many cases were deleted, archived, skipped or not found. At a glance you see whether all the intended cases were covered.

You still archive or delete individual cases directly in the case overview — see «Case overview: Manage cases».
